What personal data we collect and why we collect it

Purpose of data processing

We collect personal data for sending out the ReHyb newsletter, to run and optimize the ReHyb website. Our webserver for our website is hosted by the Leibniz-Rechenzentrums der Bayerischen Akademie der Wissenschaften (LRZ), Boltzmannstraße 1, 85748 Garching b. München, Germany. Every time you access our websites your browser automatically transfers specific information to our webserver (LRZ). This includes information on your browser type, your operating system, your IP address, as well as the date and time of the page view that you visited. This data serves the purpose of system security, statistics and the technical and content administration of our website. Any data collected is directly anonymized and saved for 8 weeks. We only process personalized data (IP-address) if it is required for the secure running of the website. This data will neither be assigned to a specific person nor consolidated with other data sources. Your personal data (i.e. name, email address, IP address) will only be collected in case you deliberately and voluntarily submit such information, for example as part of the newsletter subscription, and will only be used for the pre-assigned purpose.
We use WordPress (WordPress.org) for creating and publishing our website and MailChimp (Rocket Science Group LLC d/b/a MailChimp) as a service provider for creating and sending the newsletter.

Cookies
Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow it). It enables the site’s or service provider’s systems to recognize your browser and capture and remember certain information.
The web analysis platform we use, Matomo, might use cookies to e.g. recognize your internet browser and for web statistics. These cookies are stored for 13 months. Any collected information through Matomo Cookies is saved with a pseudonym and is only processed by us.
You can manually delete set cookies at any time in the settings of your Internet browser or deactivate the use of cookies altogether. Please note, that if you disable cookies, some features might be disabled and some of our services will not function properly.

Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, links to other websites etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website. You can deactivate these cookies separately in the settings of your browser.

Matomo Web Analytics
Our website uses Matomo (formerly Piwik), as open source analytics software to help us compile aggregate data about site traffic and site interaction. We do this in order to measure the website’s effectiveness and offer a better site experience in the future. The information generated by the cookie about your use of our Website is transferred to the servers of the LRZ (Leibniz-Rechenzentrum) in Germany and stored there. The IP address is made anonymous immediately after processing and before it is stored, so that it can no longer be assigned to the calling end device. The data is only accessed by us and is not forwarded to third parties. By using our website, you consent to the processing of data about you by Matomo in the manner and for the purpose stated above. Sign-up forms and Newsletter
We make use of the third party service provider MailChimp, which is used as a tool for the creation and distribution of the newsletter. MailChimp does not use your information themselves, but may use cookies and tracking technologies so that we can track certain behaviour such as whether the email sent through MailChimp was delivered and opened and whether links within the newsletter were clicked. This information helps us to track the successful delivery of our newsletter, measure its performance and enhance its effectiveness. The MailChimp privacy policy is available here.
The data you provide to us will only be used for the communication purposes you have indicated interest in and will not be used for any other means unless you have given your express permission.

Legal basis for data processing
For the newsletter we process you email address on the basis of Art. 6 para. 1 (a) GDPR. Additionally, to run and optimize our website we process certain data on the basis of Art. 6 para. 1 €, para. 2 and para. 3 GDPR as well as Art. 4 para. 1 Bayerisches Datenschutzgesetz (BayDSG).

Your rights over your data
You have the right of access to your personal data. This means that you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us (Art. 15 GDPR). You have a right to rectification of your data, i.e. your data needs to be changed or is incomplete (Art. 16 GDPR), and a right to data portability (Art. 20 GDPR). You can also request that we erase any personal data we hold about you (Art. 17 GDPR). This does not include any data we are obliged to keep for administrative, legal, or security purposes. If we cannot delete personal data due to legal obligations, you can request a restriction of the data processing (Art. 18 GDPR). You can further object to our processing of personal data (Art. 21 GDPR). Restrictions or modifications to the aforementioned rights can occur through Art. 9 and 10 BayDSG and Art. 20 BayDSG.
You can withdraw previously granted permissions for the future (such as for sending the newsletter) at any time. You can exercise your rights by contacting us at contact.rehyb@tum.de or with subject Personal Data or for the Newsletter with Unsubscribe.

Who we share your data with
We do not share your data with third parties for commercial use. Your data can only be used for the purpose of which you have indicated to be interested in. We use MailChimp (The Rocket Science Group LLC d/b/a MailChimp) as our service provider for the creation and distribution of our newsletter. The email address you provide when you sign up is saved in MailChimp. the Leibniz-Rechenzentrum der Bayerischen Akademie der Wissenschaften (LRZ) is hosting our website. LRZ only collects anonymized data, the privacy policy is available here.

How long we retain your data
Newsletter: We’ll retain your personal data (email address) for the purpose of sending you the project newsletter up to a year after the official project end. Prior to that, you can unsubscribe or request that we delete your information.
Website: For users that register on our website, we store the personal information they provide in their user profile. Furthermore, we save any comments and their metadata are retained, so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. We will retain this personal information for up to a year after the official project end, after which all information will be deleted.
Where we send your data
Information collected through MailChimp (/the Newsletter) may be transferred to, stored or processed by The Rocket Science Group LLC d/b/a MailChimp, based in the United States. MailChimp participates in and has certified its compliance with the EU-U.S. Privacy Shield Framework and the Swiss-U.S. Privacy Shield Framework.
When visiting our website, information collected through the web analysis software Matomo is saved on the LRZ (Leibniz-Rechenzentrum) server in Germany. Only we have access to the information.

Opt out
Matomo
You can prevent the statistical processing of your data by setting your browser software to “do not track” or object to it by opting out of Matomo tracking here.
When you opt-out via the link, a so called Opt-Out Cookie is saved in your browser, which disables Matomo from collecting and saving any data during your website session. If you delete all your cookies in your browser settings you will also delete the opt-out cookie, so that you might have to reinstall.
